Ownerled — Privacy Policy

Ownerled (the "App") is operated by WIN WIN COMMERCE LLC ("Company", "we", "us"). This policy explains what data the App accesses and how it is protected.
1. Data the App accesses
- QuickBooks Online: company information, expenses (purchases), vendors and existing attachments — to find the expense that a supporting document belongs to; and the ability to upload an attachment to an expense after a person approves it.
- Airtable: purchase order records and invoice files of the Company.
- Invoice files: PDF documents, stored privately to verify that the attached file is exactly the approved one.
The App does not access bank credentials, payment card data or payroll data.
2. How the data is used
Only to match supporting documents to expenses and attach them after approval. We do not sell data, share it for advertising, or use it for any other purpose.
3. Service providers
- Cloud hosting and database: Vercel and Supabase.
- Document reading: AI model providers used through their commercial APIs under terms that do not allow training on our data (Anthropic, OpenAI, Google Gemini paid tier). Only the invoice file is sent; access credentials are never sent.
4. Security
- Access tokens for QuickBooks Online and other systems are stored only on the server, encrypted, and are never exposed to the browser or to AI models.
- All connections use encryption in transit (HTTPS/TLS).
- Every action is recorded in an audit log; logs do not contain access tokens or raw API responses.
- Writing to QuickBooks Online happens only after explicit human approval.
5. Retention
Data is kept only as long as needed for the purpose above and for the Company's record-keeping. After disconnection, access tokens are deleted.
6. Your choices
You can disconnect the App from QuickBooks Online at any time. To request deletion of data, contact us.
